Lead generation and CRM systems for real estate developers and brokers

Two hundred leads a month and six buyers among them. We run the campaigns and build the qualification, routing and CRM that finds the six before someone else does.

The short answer

What decides whether a real estate lead converts?

Speed to first contact, and almost nothing else at the top of the funnel. A lead contacted within minutes converts at a multiple of one contacted hours later, because a property buyer enquiring online has usually enquired with several sellers at once.

This makes real estate lead generation a systems problem before it is a marketing problem. Buying more leads into a team that responds in six hours produces more wasted leads, not more site visits.

The problem

Three failures we see repeatedly.

Lead quality, not lead volume. Meta will deliver two hundred leads and six will be buyers. The sales team burns a week finding out which six, and by then most have already spoken to a competitor.

Speed to first contact decides the deal. Most teams respond in hours or the next day. The enquiry that came in at 9pm on Saturday is answered on Monday morning, by which point it is gone.

A long cycle with no memory. Six to eighteen months, dozens of touchpoints, tracked in a WhatsApp group and one person's notebook. When a broker leaves, their pipeline leaves with them.

What we run

The demand side.

Meta Ads for project launches

Campaigns by project, locality and configuration, structured so budget consolidates rather than fragmenting across ad sets.

Qualification-first campaign design

Forms and creative designed to filter rather than maximise volume, because unqualified leads cost sales time, not just ad spend.

Google Ads for high-intent search

People searching a project name, locality or configuration are far closer to a decision than social audiences.

Site visit campaigns

Campaigns and retargeting built around booking the visit, which is the real conversion event.

Long-cycle retargeting

Staying present across a six to eighteen month decision without paying repeatedly for the first click.

Reporting to site visits and bookings

Leads reported alongside visits and closures rather than instead of them.

What we build

Everything after the click.

Project landing pages

A page per project with configurations, pricing, location and floor plans — not a brochure PDF behind a form.

Instant capture and routing

Enquiries from every source routed to an available broker within minutes, with automatic reassignment if unactioned.

Automated qualification

Budget, timeline, configuration and location captured before a broker spends time, so the list arrives filtered.

CRM for an eighteen-month cycle

Stages that match how property deals actually progress, including site visits, negotiations and documentation.

Site visit scheduling and tracking

Booking, reminders and outcomes recorded against the lead rather than in a broker's phone.

Long-cycle nurture sequences

Keeping a lead warm across months of inactivity, which is where most real estate deals are quietly lost.

How we work

How the system gets built.

01

Research

We map how enquiries or orders actually arrive today, and where they are lost.

02

Build the catch

Pages, capture and tracking first. More traffic into a leaking system just increases the leak.

03

Launch and test

Campaigns live with correct conversion tracking and a deliberate testing plan.

04

Operate

Weekly iteration across campaign, page and follow-up, by one team.

Evidence

Sourced figures only.

We do not publish results we cannot attribute to a named account with the measurement window and attribution model stated. Case studies are added as client permissions are confirmed.

Questions

Common questions.

How fast should we respond to a real estate lead?

Within minutes, and the system should guarantee it rather than relying on a person being free.

An online property enquiry is almost never exclusive — the same buyer has usually contacted several sellers. First substantive response wins a disproportionate share of site visits. Automated instant acknowledgement plus routing to an available broker is the practical answer.

How do we get better quality leads from Meta?

Design the campaign to filter rather than to maximise volume, and accept a higher cost per lead in exchange for a lower cost per site visit.

That means qualifying questions in the form, creative that states price range honestly, and optimising toward a qualified-lead event rather than a raw form fill. Cost per lead will rise. Cost per booking usually falls.

Is a real estate CRM different from a normal CRM?

Yes, mainly because of cycle length and the site visit. A generic CRM assumes a pipeline measured in weeks with a single conversion event.

Property needs stages for site visits, repeat visits, negotiation and documentation, plus nurture that survives months of silence, plus lead ownership rules for when a broker leaves.

Can you connect Meta lead ads directly to our CRM?

Yes, and you should — leads downloaded as a CSV once a day are already stale. Direct integration means the lead is routed within seconds of submission.

What about leads from property portals?

Portal leads can be routed into the same system so brokers work one list rather than several. [CONTENT TO VERIFY — confirm which portal integrations are currently supported.]

How long does a lead wait before someone calls?

If you do not know the number, that is the finding. Tell us how leads are routed today and we will show you what it is costing.
